Spotfire Cloud Migration FAQ

What’s this migration between TIBCO Spotfire Cloud and TIBCO Cloud Spotfire?

The old Spotfire Cloud system (spotfire.cloud.tibco.com) is being shut down, and is replaced by TIBCO Cloud Spotfire (https://spotfire-next.cloud.tibco.com), the home of all TIBCO Cloud products. This migration will add support for TERR scripts and upgrade your Spotfire clients to the latest version with highly requested features. 

If you were using the old system, you need to update your links, including the link to the server used by Spotfire Cloud Analyst, and log into the new system instead. You may also need to move content saved in the library from the previous site to the new one. Local files can be opened as usual at the new site, without any migration. Once you have moved your content to the new site you should no longer use the previous site.

This FAQ will answer questions on what you need to do, walk you through each task and tell you how to resolve any issues. 

What happens with my access if I don't activate my new TIBCO Cloud Spotfire account? 

Once the old system has been shut down on June 26 you'll no longer be able to log in and use Spotfire Cloud, and you won't be able to reset your password. You will however still be able to migrate any personal analyses and data saved in the old library for another few weeks.

I'm a non-profit/education user with complimentary access to Spotfire, but I got an email about a purchase order from TIBCO Cloud?

As a non-profit/eduction user within our Better World Donation program, you still have complimentary access to the new TIBCO Cloud Spotfire system. Unfortunately, the activation email had the title Purchase Order which has caused some confusion. We're sorry about that. You can safely go ahead and activate your new account as instructed, to get started with your complimentary subscription in the new system. 

How do I activate my new TIBCO Cloud Spotfire account?

You’ll get an email from noreply-cloud@tibco.com with an activation link and information. Follow the instructions in the email to activate your account. 

I didn’t get an activation email or I’ve lost it. What should I do?

If you’re a TIBCO Spotfire Cloud administrator and you’ve lost your activation email, or think you never received one, please submit a support case and we’ll resend the activation email. Once the team administrator has activated her account, she can invite members to the team. If you’re not an administrator, please contact your team administrator (at your company) to get invited. 

I made an error in my profile when activating my new TIBCO Cloud Spotfire account. What should I do?

You can edit your profile at any time. Log into https://spotfire-next.cloud.tibco.com, then click your name in the top right corner and select Account. Under Account details in the new page you can click Update to edit your information. 

How do I log into TIBCO Cloud Spotfire?

The link to the new TIBCO Cloud Spotfire system is https://spotfire-next.cloud.tibco.com. Enter the credentials to your activated TIBCO Cloud account and log in.

When I log into TIBCO Cloud Spotfire I get to choose between several accounts – all called "Oregon". What does this mean?

If you are a member of more than one organization in TIBCO Cloud (e.g., if you had previously signed up for a trial on your own), you get to choose which subscription to use when signing in. The name of the organization is displayed below "Oregon", which is just the location of the server. 

I am the Spotfire administrator for my team. What do I need to do?

You’ll get an activation email from TIBCO Cloud (noreply-cloud@tibco.com). After you’ve activated your own account you must invite the other members to your team, so they can move to the new system and migrate any content they want to keep from the previous Spotfire Cloud library.
Note: You cannot migrate any personal content from the previous Spotfire Cloud library for other users. Each user must import any content from their old home folder if they want to keep it. 

Note: We’ve provided an email template at the end of this FAQ which you can use to inform your team members of the steps required of them.

How do I invite other users to my organization?

On the TIBCO Cloud Spotfire system, you need to both invite users to your organization and also assign your users a Spotfire role.
You can be part of several organizations. You get to choose between them at login, but you will always see all team folders in the TIBCO Cloud Spotfire user interface.

  1. Log into TIBCO Cloud Spotfire and click on your name at the top right corner.
  2. Select Team Members.
  3. On the Spotfire domain, click Invite new members.
  4. Type the email address of the user to invite and press enter. Repeat if you want to add more users.
  5. When you have added all addresses, click Assign roles.
  6. When you are done, click Save and send notifications.

How do I assign roles in the TIBCO Cloud Spotfire system?

If you are an organization owner, you can view and edit what role you and other users in the team have from the Team members page. Click your name in the top right corner and select Team members from the menu.

What if I entered an incorrect email address for a user?

If you entered an incorrect email for an invitation that was sent out, you cannot edit it. Remove that user from the organization and then invite a new member with the correct email.

I sent an invitation but it got lost. What should I do?

If a member lost the invite, you can resend it.

I accidentally assigned the wrong role to a member. What should I do?

As an organization owner, you can edit what role each member has later on.

What if I don't want to use Spotfire myself?

If you’re an organization owner and you don’t want to use one of your available Spotfire seats for yourself, you can remove yourself from an assigned role. 
For more information about how to assign roles see Managing Roles and Team Administrator Status in the TIBCO Cloud Administration help. For a description of the Spotfire roles see About users and roles in the TIBCO Cloud Spotfire help.

Note: If you don’t have a Spotfire role, or if you only have a Consumer role, you’re not allowed to import content. Hence, you must ask an Analyst or Business Author on the team to migrate any team folder content from the old Spotfire library. 

How do I add more seats to my subscription?

  1. Log into TIBCO Cloud Spotfire and click on your name at the top right corner.
  2. Select Subscriptions.
  3. In the Subscriptions page, find the Spotfire card and click the Upgrade link.
  4. Select the number of additional roles or storage that you need and follow the instructions on the page to complete your purchase.

Once you have access to more seats, you can invite additional members from the Team Members page.

How do I move content from the old system to the new one?

If you have any stored content in the old library, you can easily import it to this new system. 
Log into the new site, select Import content from Spotfire Cloud from the help menu (with the question mark), and follow the instructions on the screen. You must have a Spotfire role, either Analyst or Business Author, to migrate content. You will get an email from noreply@connect.tibco.com when the import is done.
Note: A TIBCO Spotfire Cloud account can only be connected to one TIBCO Cloud Spotfire account, and the import action can only be performed once. Therefore, once you have moved your content to the new site you should stop using the previous site.
Note: Content that others shared with you through the library, for you to view, will not be migrated. Authors must share content again in TIBCO Cloud Spotfire for Consumers to be able to view. The team folder allows easy sharing with the whole team.

What is the time frame for this migration?

The old system will be shut down on June 26. From that day you'll no longer be able to log in and use Spotfire Cloud, and you won't be able to reset your password. You will however still be able to migrate any personal analyses and data saved in the old library for another few weeks. 

How do I know if I have to move any content to the new site?

The easiest way to check if you have any content to migrate from the old library is to go to the migration page on the new site. See How do I move content from the old system to the new one. After you authenticate against the old site, the system will look for any content and let you know if you have anything to migrate. You don't need to worry about any locally saved files; they can be opened as usual on the new site.
Note: All users who have saved analyses in the old Spotfire Cloud library must migrate the content from their personal folder on their own. Nobody else can access or migrate that data for you.

  • Organization owners: If you are an organization owner who is responsible for content used by a team, then you must make sure that the team content is imported to the new TIBCO Cloud Spotfire site. You must also make the content available for your team by placing it in the team folder. Note: It’s recommended that only one person per team migrates the team content. You must have a Spotfire role, either Analyst or Business Author, to migrate content. 
  • Analyst or Business Author users: If you’ve saved any analyses in your personal home folder in the old library that you want to keep using, you must move that content to the new library. 
  • Consumers: If you have Consumer rights only, you don’t have to migrate anything; just activate your account on the new site and start analyzing.

I missed to include the team folder when importing. What should I do?

If there are other users with an Analyst or Business Author role in your team, you should ask one of them to import the team folders, otherwise submit a support case

    What’s the recommended procedure to import and share team content?

    It’s recommended that the organization (team) owner imports the team folder from TIBCO Spotfire Cloud once, and then publishes it to the new team folder. This gives a much better start view for the consumers in the team, who are otherwise met by an empty team folder when logging in. Anyone with an Analyst or Business Author role can migrate the team folder, so the organization owner can ask someone else to perform this step. 
    The team folder is available to everyone in your team. Users with a Business Author or Analyst role can add and edit any content in the team folder, and users with a Consumer role can view only. The organization owner can edit the name of the team folder.

    I got an email saying the import failed. What should I do?

    If you tried to import content from the old Spotfire system but it didn't work, please submit a support case.

    I got an email saying the import was successful, but the page shows an error. What should I do?

    If you import both your personal folder and a team folder, the import is done as two separate transfers. You will get two separate emails (from noreply@connect.tibco.com) for each of these transfers and one transfer may fail even though the other one was successful. Please submit a support case for assistance.

    How do I know the status of my import?

    You can see the current status of your import on the migration page.
    Log into the new site and select Import content from Spotfire Cloud from the help menu (with the question mark) to see where you are in the migration process.

    I have several accounts on the old system, how can I transfer content from all of them?

    You can only import content from one old account per account in the new system. If you must merge content from several accounts please submit a support case,

    I logged in with the wrong account in the old system, how can I change to another account?

    You can only connect one old account to the new system so in this case you must submit a support case to fix the issue.

    How do I share content in the new system? 

    In Spotfire, you configure sharing on the folder level. You can share an analysis with your entire team by placing it in the team (Organization) folder. You can also share with a select group of people, or to the public (available to anyone without logging in). Then you must place that analysis in a folder that you have configured for sharing.

    Note: All users that you share content specifically with must have a TIBCO Cloud Subscription to access that content (or can start a 30 day trial to try it out). Publicly shared content can be viewed without a subscription. 
    Note: When you import content from the previous system it will become private by default, that is, the content will be available only to you, even if you had shared it in the previous system. You must configure sharing again to make it available to others.

    Why is my content no longer shared after I imported it?

    All content you import from the old Spotfire Cloud library will be private only to you, regardless of how it was shared before. To make it available to others, you need to share it again.

    Why is my public content no longer public after the import?

    Any previously public content that you import from the old Spotfire Cloud library will become private only to you in the new system. To make it available to others, you need to make it public again.

    Why is the team folder called “Name’s Organization”?

    The default name of your organization is based on the name of the organization owner. The organization owner can edit the name of the organization and that will change the name of the team folder for all team members. As an organization owner, you click your name in the top right corner and select Account from the menu. Here you can Update the organization name. 
    Note: You must log out and back in again for the name change to be reflected in Spotfire. 

    How do I update my Spotfire Cloud Analyst client?

    If you are using the installed client Spotfire Cloud Analyst on your computer, you must update it to point to the new site. 

    Launch Spotfire Analyst on your computer to reach the login dialog. Check that the Server is https://spotfire-next.cloud.tibco.com/ or else click the link Manage Servers and add it. Then log in with your new credentials and accept all updates. 
    Note: If you’ve selected the “Save my login information” option previously, so the login dialog isn’t displayed, then search Windows for “Spotfire” and select the option that says “show login dialog” to force it to display.

    I cannot log in to Spotfire Cloud Analyst. What should I do?

    1. Make sure you’ve activated your new account on TIBCO Cloud Spotfire. If you’re an administrator, you should have received an activation email from TIBCO Cloud (noreply-cloud@tibco.com). If you’re a regular team member, you should have received an activation email when your administrator invited you to the team. Follow the instructions in the email to activate. 
    2. Update Spotfire Analyst to point to the new server. See How do I update my Spotfire Cloud Analyst client
    3. Use the new credentials for TIBCO Cloud Spotfire to log in (and not your old credentials for the previous system). 

    Please submit a support case for assistance if the above does not resolve the issue. 

    How do I update my Spotfire Mobile app?

    1. Activate your new TIBCO Cloud account as described in the email from TIBCO Cloud (noreply-cloud@tibco.com).
    2. Check that your team administrator or analysis author has moved your library contents to the new site. See How do I know if I have to move any content to the new site? for more information.
    3. Browse to the app store (Google Play for Android device users, or the Apple App Store for iOS device users).
    4. Upgrade to the version of the app that contains the connection to TIBCO Cloud Spotfire. 
    5. Open your TIBCO Cloud Spotfire account, and then select Add to Favorites for all of the analyses that you want to keep in your Favorites list. Tip: You can see the location of all analyses in the Favorites list. Remove analyses that are located on the obsolete Spotfire Cloud site from Favorites. You can also delete the connection to the old Spotfire Cloud from the list of available libraries in the main menu.

    Why am I asked to re-enter my credit card information when I already have a subscription?

    (This only applies to customers who paid with a credit card.) 
    For your security, once your account has been activated you’ll be prompted to to re-enter your billing and credit card information. This step will make sure your subscription doesn't expire. Please follow the on-screen instructions. 

    How do I know if I entered my billing credit card information correctly?

    (This only applies to customers who paid with a credit card.) 
    When your account was activated you should’ve been prompted to enter your billing and credit card information. You can check whether you completed this step from the Subscriptions page in TIBCO Cloud. 

    1. Log into TIBCO Cloud Spotfire and click on your name at the top right corner.
    2. Select Subscriptions.
    3. In the Subscriptions page, find the Spotfire card which shows your current payment status and information about whether your subscription is set to renew or expire at a specified date. 
    4. If it says the subscription will renew you are all set and can continue using TIBCO Cloud Spotfire. If it says the subscription will expire, see instructions in the section below on what to do.

    I purchased with a credit card, but it says my account will expire. What should I do?

    (This only applies to customers who paid with a credit card.) 
    When your account was activated you should’ve been prompted to enter your billing and credit card information. If you closed your browser before you had the chance to provide this information, your account will no longer renew automatically. 

    1. Log into TIBCO Cloud Spotfire and click on your name at the top right corner.
    2. Select Subscriptions.
    3. In the Subscriptions page, find the Spotfire card which shows your current payment status and information about whether your subscription is set to renew or expire at a specified date. 
    4. If it says your account will expire, you can click Renew to provide your billing information and make sure you can continue to use TIBCO Cloud Spotfire.

    Which CRAN packages are available on TIBCO Cloud Spotfire?

    An analysis created with Spotfire Analyst and deployed to TIBCO Cloud Spotfire can take advantage of the TERR Service and its compatibility with packages available from CRAN. 

    TIBCO Cloud™ Spotfire® has made available nearly six hundred packages from the Comprehensive R Archive Network (CRAN). The packages that are included on TIBCO Cloud™ Spotfire® have been tested with TIBCO® Enterprise Runtime for R (TERR™) and are considered useful and popular. To view a list of all packages, including the CRAN packages available to use with TERR™ scripts, on TIBCO Cloud™ Spotfire®,  see spotfi.re/package-list.

    My mashup or custom tool does not seem to work after I migrated my data. What should I do?

    The path to a folder on the new TIBCO Cloud site is shown using a display name, whereas the actual path contains an identifier. Any custom tools working with library paths need to be updated to use the actual path. See TIBCO Spotfire® JavaScript API Overview for more information.

    Quick introduction to the new TIBCO Cloud Spotfire user interface

    The user interface in TIBCO Cloud Spotfire is slightly different from the old system.

    When you first enter TIBCO Cloud Spotfire, you will see a left-hand panel which links to all analyses and data you have access to, including files that other people have shared with you.

    The Home folder (1) shows your own part of the Spotfire library. Here is where you can add any folders or analyses if you have authoring rights on TIBCO Cloud Spotfire (that is, if you have an Analyst or Business Author role).

    Right under your Home folder, you will see sections for all teams (or organizations) you are a part of (2). All analyses placed in a team folder are immediately available to all your team members, without any additional sharing.

    The Samples section (3) contains useful sample analyses, including an Introduction to Spotfire.

    In the mid part of the panel, you see the shared folders. The "Shared with me"-folder gives you quick access to any folders that are shared with you by other people (4). If you have a Business Author or Analyst role, you will also see a "Shared by me"-folder (5) where you can see all folders you have shared with others.     The lower part of the panel gives you quick access to other resources. The Downloads page (6) is available for users with an Analyst role only. Here, they can download the Windows client Spotfire Analyst, or database drivers needed by the Spotfire connectors. All users have access to the TIBCO Community (7) and the Spotfire learning portal (8).

    I am the administrator of our Spotfire team, and I will invite you to our organization on the new system. The purpose of this email is to make sure you understand the steps you’ll need to take once your account has been created. 

    Step 1: Activate your Account
    Once you have been invited to the team by me, you will receive an email from noreply-cloud@tibco.com with instructions on how to activate your account. Follow those instructions to activate your account.

    Step 2: Migrate your Analyses
    If you have any analyses saved in the Spotfire Cloud library that you want to keep, you need to migrate that content. Follow the instructions in the Spotfire Cloud migration FAQ on how to do so. Local files can be opened as usual at the new site, without any migration.

    Step 3: Update the installed Spotfire Analyst client 
    If you are using the installed Spotfire Analyst client, you must point it to the new server for Spotfire on TIBCO Cloud. This will also update the client to the latest version of Spotfire with lots of new features. Follow the instructions on how to update Spotfire Analyst in the FAQ.
